Personnel Action Tasks
Overview
The Personnel Action Tasks feature is designed to help organizations maintain structured oversight of key activities and requirements related to their staff members. This feature allows administrators or designated user managers to assign and track important personnel-related tasks directly within an individual user's profile.
Think of it as a lightweight task management tool, integrated directly into the user record, to ensure that recurring or time-sensitive actions—such as renewals, reviews, or certifications—are never missed.
Where to Find It
To access this feature:
- Navigate to the User Profile of the staff member you wish to manage.
- From the What's Next dropdown menu, choose Add Personnel Action Task.
- You can also view all existing tasks under the new Tasks section within the user profile.
Use Cases and Examples
Here are some common scenarios where Personnel Action Tasks can be helpful:
Training & Certification Tracking
- Example: You require all customer service staff to complete a De-escalation Training Course every 12 months.
- Create a task titled Complete De-escalation Training, set the scheduled date for the next due date, and assign a repeat frequency of Annually.
Professional Licensing Renewal
- Example: A licensed staff member needs to renew their state-issued credential every 2 years.
- Add a task like Renew State License – Category A, set the renewal date, and optionally attach any reference documentation.
Performance Review Scheduling
- Example: You want to ensure that managers conduct annual performance reviews for all their direct reports.
- Create a task titled Annual Performance Review, schedule it accordingly, and assign it to the relevant manager.
Onboarding or Offboarding Checklists
- Example: New hires should have certain onboarding tasks (e.g., Complete Orientation Packet, Set Up Email Account).
- Add these as one-time tasks during onboarding and assign them to HR or IT staff.
Key Features
Permissions and Access
To create or manage Personnel Action Tasks:
- The user must have User Manager or Administrator access for the staff member's profile.
- Tasks can only be assigned to users who also have access to the profile (this ensures confidentiality and proper authorization).
Best Practices
- Use Descriptive Titles: Clear task names help the assignee understand the action required.
- Set Repeat Frequencies Thoughtfully: For recurring tasks like reviews or license renewals, use the repeat feature to reduce manual workload.
- Monitor Completion: Regularly check for overdue tasks, and follow up where necessary to maintain compliance and performance standards.
Conclusion
The Personnel Action Tasks feature is your tool for ensuring important employee-related events and responsibilities don't fall through the cracks. Whether you're managing certifications, performance reviews, or onboarding steps, this tool keeps everyone aligned and accountable.
